How to integrate Calendly and what to use it for.

Special Notes:

  • You need a Calendly account to create the integration.

  • The connection is created within WolfPack.

  • This integration adds tags to contacts which you can use for automation.

  • This integration can also map fields from Calendly to your contact custom fields.

How It Works

After connecting your Calendly account, your meeting data will sync to the contact's profiles moving forward. Syncs occur once a contact books a meeting in Calendly.

Moreover, the integration creates two automation triggers, as well as, enables email personalization based on Calendly data.

What To Expect

Once a contact books a meeting in Calendly, a contact is created in WolfPack if one does not exist. If a contact does exist, the profile will be updated with the Calendly event data.

The following data will sync:

  • Event type

  • Event date and time

  • Event location/virtual meeting link

  • Event details

  • Status - (Note: In order to see new statuses of "canceled" or "rescheduled" you will need to disconnect and then reconnect your Calendly account)

It is not possible to edit these fields.

Tags added to contacts

When contacts schedule a meeting in Calendly the following tags will be added to their contact:

  • Calendly-integration

  • calendly-integration-[youreventname]

Calendly tags will remain on the contact record even if a contact cancels a meeting.

New Automation Triggers

This integration comes with two automation triggers:

  • Calendly Meeting Created
    Meeting invitees are pulled into the automation upon creating a new Calendly event.

  • Calendly Meeting Updated
    Meeting invitees are pulled into the automation when a Calendly meeting is rescheduled or canceled.

These two triggers are under the "Apps" section of the automation trigger modal. It is not possible to use any other automation trigger once you add one of these two triggers to your automation.

Personalizing Emails

You can use the new Calendly fields to personalize mass email campaigns. It is not possible to personalize 1:1 emails. These personalization fields are under "Custom Objects" when adding email personalization.

How To Connect Calendly To Your CRM

To connect Calendly to your account:

  1. Click Apps on the bottom left navigation.

  2. Search Calendly in the search box.

  3. Click into Calendly.

  4. Follow the instructions to connect your Calendly account and meetings.

  5. You may map additional fields during this time.

Example Automations & Use Cases

The most common use case of the Calendly integration is to move prospects through your deal stages and sales funnels. For example, you may be prospecting to a contact to schedule a meeting. Once a meeting is scheduled, you can automatically move them to another stage in your pipeline.

If a contact does not schedule a meeting within a certain period, you may have a followup sequence or set of tasks to attempt to schedule a meeting again.
